This Privacy Policy explains how SocialLets ("we", "us", or "our") collects, uses, stores and protects personal data when you use our website at https://www.sociallets.com (the "Platform").

We handle personal data in accordance with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018, and the Privacy and Electronic Communications Regulations (PECR).

1. Who we are

SocialLets operates a private matching service in the United Kingdom. We introduce landlords who have vacant property to providers, charities and councils who need homes for the people they support.

We are a matching service only. We do not act as a housing provider, landlord, letting agent, care provider or local authority.

For data protection purposes, SocialLets is the data controller of personal data processed through the Platform. We are registered with the Information Commissioner’s Office (ICO).

2. Who this policy covers

This policy applies to:

  • visitors who browse the Platform without an account;
  • people who create a landlord or provider account;
  • people who submit a partnership enquiry or contact form;
  • people named or described in property listings or housing requirements, where that information is provided to us; and
  • administrators who operate the matching service.

If you represent a provider, charity or council, you must only give us personal data you are entitled to share, and you remain responsible for your own data protection duties to the people you support.

3. Personal data we collect

3.1 Information you give us

Account information. When you register we collect your name, email address, telephone number (if provided), password (stored in hashed form), and account role (landlord, or provider / charity / council). Provider accounts also include organisation name and organisation type.

Profile and listing information. Landlords may post vacant property details such as title, description, property type, address, city, postcode, bedrooms, rent and features. Providers, charities and councils may post the homes they need, including areas, bedrooms, budget, household type and support notes. You may also add organisation or profile details in your dashboard.

Partnership enquiries. If you use the Partnership wizard we collect the path you chose (for example leasing a property, finding homes, or learning more), your answers to those questions (such as property type, region, postcode, availability, priorities, organisation type and number of units), and your name, email, telephone number, organisation name and message.

Contact form. If you write to us through the contact form we collect the topic, your name, email, telephone number (if provided) and message.

Get started / registration. The Get started wizard collects the same account information described above so we can create your login.

3.2 Information we create

  • suggested matches and scores created by our matching team;
  • introduction records when we introduce a landlord and a provider, charity or council;
  • account status, verification flags and activity needed to operate the service; and
  • records of emails we send you about your account, a match or an enquiry.

3.3 Information collected automatically

  • technical data such as IP address, browser type and basic request information used to run and secure the Platform;
  • essential session cookies that keep you signed in; and
  • your cookie preference, stored in your browser so we can remember Essential only or Accept all.

We do not currently set third-party advertising or analytics cookies. If we add optional analytics later, we will only do so where you have chosen Accept all, and we will update this policy.

3.4 Information we do not collect through public browsing

Landlord properties and provider requirements are not an open marketplace. Visitors and the other party cannot browse those lists. Our team sees both sides only so we can look for a fit.

4. Lawful bases

We process personal data only where we have a lawful basis under UK GDPR. Depending on the activity, that is usually:

  • Contract — to create your account, let you post listings or requirements, and provide the matching service you asked for;
  • Legitimate interests — to operate a private matching service, review submissions, prevent abuse, keep the Platform secure, and reply to enquiries, where those interests are not overridden by your rights;
  • Legal obligation — where we must keep records, respond to a regulator, or deal with a legal claim; and
  • Consent — where PECR requires it for non-essential cookies or optional marketing. You can withdraw consent at any time by contacting us or changing your cookie choice.

If a provider, charity or council gives us information about people they support, they must have their own lawful basis for sharing it. We use that information only to assess a housing requirement and, if appropriate, make an introduction.

5. How we use your data

We use personal data to:

  • create, verify and manage accounts;
  • let landlords post vacant properties and let providers, charities and councils post requirements;
  • review both sides privately and identify possible fits;
  • introduce the two parties when our team validates a match;
  • reply to partnership enquiries and contact form messages;
  • send service emails about your account, a listing, a requirement or an introduction;
  • calculate and record a landlord introduction fee when a lease is signed after our introduction;
  • keep the Platform secure, prevent scraping or misuse of private listings, and investigate abuse; and
  • comply with law and defend legal claims.

We do not sell personal data. We do not use your listings to build a public property board.

6. Matching and introductions

Until we make an introduction:

  • providers, charities and councils cannot browse landlord properties;
  • landlords cannot browse provider requirements; and
  • only our matching team can see both sides and any suggested matches.

When we introduce you, we share the details of that specific match — which may include names, organisation details, contact details and the relevant property or requirement — with the introduced parties so they can talk to each other. You will not receive the other party’s full list of properties or requirements.

An introduction is not a decision that a tenancy, licence or placement should go ahead. Each party remains responsible for its own checks.

7. Sharing and processors

We share personal data only where needed for the service:

  • The other party to an introduction — as described above;
  • Our team — administrators who review listings and make introductions;
  • Service providers — such as hosting, email delivery and security providers who process data on our instructions; and
  • Authorities — if the law requires it, or to protect people from harm.

We do not share private listings with the public, data brokers or advertising networks.

8. International transfers

We aim to store and process Platform data in the United Kingdom. If a supplier processes data outside the UK, we will only do so where UK GDPR allows it, for example with an adequacy decision or appropriate safeguards such as the UK International Data Transfer Agreement.

9. How long we keep data

We keep personal data only as long as we need it:

  • Accounts, properties and requirements — while your account is active, and for a reasonable period afterwards so we can maintain matching records, handle disputes and meet legal duties;
  • Introductions and fee records — for as long as needed to administer an introduction, any related lease and the landlord introduction fee, and to keep an audit trail;
  • Partnership and contact messages — for as long as needed to reply and, if relevant, open an account or match; and
  • Security and technical logs — for a short period unless we need them to investigate an incident.

You can ask us to close your account through the contact form or, where available, in your dashboard. We may retain limited information where we must do so by law or to establish or defend a claim.

10. Security

We use technical and organisational measures appropriate to a private matching service, including hashed passwords, access controls so that listings are not publicly browseable, and limits on who in our team can see both sides. No online service is completely secure. Please use a strong unique password and tell us if you think your account has been misused.

11. Your rights

Under UK GDPR you may have the right to:

  • access the personal data we hold about you;
  • correct inaccurate or incomplete data;
  • ask us to erase data in certain circumstances;
  • restrict or object to certain processing;
  • receive data you provided to us in a portable format; and
  • withdraw consent where we rely on consent.

These rights are not absolute. We may need to keep some information, for example to complete an introduction already in progress or to meet a legal obligation.

To make a request, use the contact form and choose the privacy topic. We may need to confirm your identity before we respond.

12. Cookies and similar technologies

We use:

  • Essential cookies — a signed-in session cookie so the Platform can recognise you. These are needed for the service to work.
  • Cookie preference — stored in your browser (local storage) when you choose Essential only or Accept all, so we do not keep asking.

The cookie banner appears until you make a choice. Essential cookies may still be used to operate sign-in. We do not currently use optional analytics or advertising cookies. If that changes, Accept all will be the consent for those cookies, and this section will be updated.

You can also control cookies in your browser settings. Blocking essential cookies may stop sign-in from working.

13. Children

The Platform is for organisations and adults acting in a professional or landlord capacity. We do not knowingly create accounts for children. Providers, charities and councils must not submit children’s personal data unless it is necessary for a housing requirement and they are entitled to share it. If you think we have data about a child that we should not have, contact us.

14. Changes to this policy

We may update this Privacy Policy from time to time. The “Last updated” date at the top will change when we do. The current version will always be on this page. If a change is material, we may also notify account holders by email or a notice when they next sign in.

15. Contact and complaints

For privacy questions or to exercise your rights, use our contact form. Do not send sensitive personal data through an unsolicited public channel.
